From Scattered Sales Data to Real-Time Visibility: How Xgrid Helped an Environmental Staffing Firm Connect HubSpot, QuickBooks, and QuickBase

A specialized environmental staffing company was preparing to make HubSpot the central workspace for its sales team.

The company already had strong operational systems in place. QuickBase served as the long-standing system of record for customer, company, order, and job data, while QuickBooks managed invoice and payment information. But as the sales team scaled its outreach efforts, leadership needed a simpler way to see the most relevant customer, job, and invoice data inside HubSpot.

The goal was not to replace the existing operational stack. It was to bring the right information into HubSpot so the sales team could act faster, follow up with the right accounts, and track lead activity with more confidence.

Xgrid was brought in to stabilize the QuickBooks-to-HubSpot sync, connect QuickBase job data with HubSpot, build sales visibility dashboards, and create a time-sensitive HubSpot workflow for event-based lead capture.

The Challenge

The staffing firm had recently invested in HubSpot Sales Professional and wanted to make it easier for its sales team to work from one clear, actionable view.

Before the engagement, the company’s data lived across multiple systems:

  • QuickBase housed customer, company, contact, order, and job information.
  • QuickBooks managed invoices, balances, due dates, and payment activity.
  • HubSpot was being introduced as the sales team’s central workspace.

Each system served an important role, but sales users needed a more focused view inside HubSpot. They needed to see customer details, open jobs, invoice status, lead ownership, and follow-up activity without relying on manual exports or switching between platforms.

The engagement focused on three priorities:

Creating a reliable sales workflow in HubSpot
The team needed a fast way to capture leads from a major industry event, assign ownership, track response time, and make sure every inquiry was followed up within a two-hour SLA.

Stabilizing QuickBooks invoice visibility in HubSpot
Invoice data was already flowing into HubSpot, but the sales team needed cleaner company associations and clearer visibility into whether invoices were open, cleared, or overdue.

Connecting QuickBase job data to HubSpot
QuickBase remained the source of truth for active jobs, customer relationships, headcount needs, and order details. The sales team needed that data reflected inside HubSpot in a structured, usable way.

What Xgrid Delivered

1. A HubSpot Workflow for Fast Event Lead Follow-Up

Xgrid first built a HubSpot workflow to support a time-sensitive sales motion around an upcoming industry event.

Leads captured at the booth were submitted through a HubSpot form. From there, the workflow automated the full follow-up process so every inquiry was routed, tracked, and actioned quickly.

The workflow included:

  • Contact creation through the event form
  • Round-robin owner assignment between regional managers
  • Event-specific tagging through a custom property
  • Automatic addition to a static list for future sales and marketing use
  • Timestamp capture for pricing request submission
  • Deal creation with custom fields for service type, city, job type, job duration, and related request details
  • Internal email alerts to the assigned manager
  • HubSpot task creation for follow-up
  • Automated first-touch confirmation email to the prospect
  • A two-hour SLA check tied to deal stage movement
  • Escalation logic if the lead was not moved to the required stage within the SLA window

Xgrid also delivered documentation and a video walkthrough so the sales team could update deal stages correctly after sending pricing information.

The result was a clean event follow-up engine that helped the team respond quickly and avoid missed opportunities.

2. Two-Hour SLA Visibility With Zero Escalations

The event workflow gave the company a clear way to track lead response time.

During the event, the team received approximately 13–14 booth submissions. Every lead was handled within the two-hour response window, and no escalation alerts were triggered.

This created immediate confidence in the new HubSpot process. Sales leadership could see that event leads were being captured, assigned, followed up, and tracked without relying on manual coordination.

3. QuickBooks-to-HubSpot Sync Stabilization

The next focus was invoice visibility.

A one-way QuickBooks-to-HubSpot sync was already in place, but it needed refinement so the sales team could trust what they were seeing inside HubSpot.

Xgrid reviewed the native integration, remapped key fields, and enabled the appropriate HubSpot settings so invoices could associate correctly with existing company records.

This helped ensure that invoice records were tied to the right customer accounts instead of appearing as disconnected financial data.

4. Invoice Status Logic for Sales Follow-Up

One of the most important sales visibility needs was invoice status.

The sales team needed to know which customer invoices were cleared, open, or overdue. However, the native QuickBooks-to-HubSpot sync did not pass invoice status cleanly because the dropdown values between the two systems did not align.

Xgrid worked within the available HubSpot package and built a practical workaround using fields that were already syncing correctly: balance due and due date.

The logic was structured as:

Invoice Condition HubSpot Status Logic
Balance due equals zero Cleared
Balance due is greater than zero and due date is in the future Open
Balance due is greater than zero and due date has passed Overdue

This gave the sales team the invoice visibility they needed inside HubSpot without requiring a more complex integration rebuild.

Instead of waiting for perfect native field alignment, Xgrid created a business-ready solution that allowed sales users to act on invoice status directly from HubSpot.

5. QuickBase Job Data Brought Into HubSpot

The company’s QuickBase system had been used for years to manage complex operational data, including contacts, companies, orders, and jobs.

For sales, the most important information was tied to active jobs: which companies had open staffing needs, how many workers were requested, how many had already been placed, and what work still remained.

Xgrid helped bring this job data into HubSpot in a way that matched the company’s existing HubSpot package.

Because the available package did not support a dedicated custom object for jobs, Xgrid mapped job records to the HubSpot Orders object and created custom fields to capture the staffing-specific details the sales team needed.

This included information such as:

  • Active job status
  • Start and end dates
  • Number of workers requested
  • Number of workers already placed
  • Remaining staffing need
  • Associated company
  • Associated contact

This gave the sales team a clearer view of open staffing demand directly inside HubSpot.

6. Historical Data Cleanup and Re-Import

Before the automated pipeline was built, Xgrid addressed a historical data import issue that had created more than 50,000 duplicate company records in HubSpot.

Xgrid cleaned the duplicate records, cleared the affected imports, and re-imported historically active and open jobs with the correct mappings.

This step was critical because it created a cleaner foundation before ongoing automation was introduced. It also helped prevent the sales team from working with duplicate or disconnected records.

7. Automated QuickBase-to-HubSpot Pipeline

After the historical data was cleaned and mapped, Xgrid built an automated QuickBase pipeline to keep HubSpot updated going forward.

The pipeline was designed to trigger when a new active job was created in QuickBase. Before creating records in HubSpot, it checked whether the company and contact already existed.

The pipeline used:

  • Company website to check for existing company records
  • Contact email to check for existing contact records
  • HubSpot APIs to validate records before creating new ones
  • Duplicate prevention logic to avoid unnecessary record creation
  • Notifications when a duplicate was detected
  • Automated creation of new HubSpot Orders when no duplicate existed
  • Associations between orders, companies, and contacts

This gave the company a more reliable, repeatable way to move active job data from QuickBase into HubSpot without depending on manual CSV imports.

8. Sales Dashboards for Visibility

Xgrid also configured HubSpot dashboards to help sales leadership track performance and workflow activity.

The dashboards gave visibility into:

  • Lead volume
  • Lead creation trends
  • Time-to-contact
  • Deal stage progression
  • Event lead follow-up
  • Open job and order visibility
  • Invoice status visibility

This helped leadership monitor sales activity from within HubSpot and gave the sales team a clearer operating view across leads, customers, jobs, and invoices.

Xgrid helped the staffing firm turn HubSpot into a more useful sales visibility layer across its existing business systems.

What Made Xgrid’s Approach Different

Xgrid’s work went beyond basic HubSpot configuration.

The engagement required understanding how sales, finance, and operations data moved across three different systems: HubSpot, QuickBooks, and QuickBase. Instead of forcing every process into one platform, Xgrid designed a practical architecture where each system could continue serving its role while HubSpot became the sales team’s central visibility layer.

Xgrid also worked within real-world platform constraints. When invoice status could not sync directly because of field mismatches, the team built logic using available invoice data. When the client’s HubSpot package did not support the preferred custom object structure, Xgrid adapted the data model and used the Orders object with custom fields. When historical imports created duplicate records, Xgrid cleaned the foundation before enabling ongoing automation.

The result was a solution that balanced technical accuracy with sales usability.

Conclusion

The staffing firm needed more than a HubSpot setup. It needed a connected sales visibility system that could bring together event leads, invoice status, customer records, and active job data from multiple platforms.

Xgrid helped the company stabilize its QuickBooks sync, structure QuickBase data inside HubSpot, automate active job updates, create a fast event follow-up workflow, and give sales leadership dashboards for better visibility.

The result was a cleaner, more connected sales operating layer inside HubSpot: one that helped the team respond faster, track the right records, and act on customer and invoice data with greater confidence.
